Responsibilities:


The Opportunity


The Administrative Services Coordinator is responsible for keeping detailed track of IT Project costs and ensure cross charges from different IT teams and vendors are done accurately and timely based on forecast and approved Statements of Work (SOWs).

Also, will coordinate the requests and follow up of different services to Finance as Purchase Orders (PO), Good Receipts (GR), and accruals, as well as T&E tracking for ECS.


Your Impact
As ECS Administrative Services Coordinator your responsibilities would consist of:

  • Understand AOP and Forecast for ECS investment and baseline projects, including Human Resources (HR), Supply Chain and Global Procurement (SC), Research & Development (R&D)
  • Understand Finance calendar for global and local teams (period and monthly closing and activities)
  • Track cross charges from different IT teams ensuring to hit ECS project accurately and timely, contributing to Forecast Accuracy
  • Request and follow up financial services as: accruals, journey entries, good receipts (GR)
  • Request and follow up procurement services as: shopping carts, purchase orders (PO) creation and adjustments
  • Track T&E for ECS and execute expenses reports for ECS Directors
  • Track invoices from vendor
  • Collection Management
  • Vendor Management
  • Understand Statement of Work (SOW) processes to be advisor for ECS team members
  • Work orders (WO) Management for staff augmentation (contractors), assign to Managers for tracking
  • Accruals Management

Qualifications:

Who Are We Looking For?

  • Education
  • Bachelor's degree on Business Administration, Finance or similar
  • English level: Intermediate to Advanced
  • Experience
  • 2+ years on Financial Planning (Budget Management, Forecasting)
  • 2+ years on Vendor Management (Statement of Works, invoicing tracking, relationship management)
  • Tech skills
  • Planning, organization, and control
  • Basic Finance knowledge
  • SAP Concur usage
  • Fieldglass usage
  • Non tech skills
  • Effective communication (oral and written) with internal and external stakeholders across multiple levels
  • High attention to detail and focus on driving processes through successful execution
  • Passionate about his/her responsibilities
  • Able to collaborate within teams
  • Persistent and resilient in the pursuit of objectives, can shift gears easily, is willing to take on new challenges and works to resolve issues
