Responsibilities:

Executive Expenses Assistant


Main Purpose
This is a Executive Expenses Assistant will own the creation, submission, and approval tracking of accurate T&E expense reports.

Accountabilities

  • Work closely with several senior business leaders to understand and analyze their AMEX expenses
  • Management of monthly travel expense charges and timely preparation of expense reports for submission
  • Track and followup on report approvals for these leaders
  • Schedule/coordinate international and domestic travel via Concur platform/Amex Global Travel agency
  • Analyze and follow up on any T&E or travel related issues
  • Develop organized process for maintaining/storing supporting expense documentation/receipts for a large number of travelers
  • Able to optimize process by leveraging best practices
  • As required to pull data and do the variance analysis of expenses
  • Implement continued improvements and simplifications of processes, standardization of reporting, and optimal use of technology
  • Accurate budget reconciliation and tracking of expenses
  • Maintain high level of integrity and professionalism in handling confidential material daily

Requirements:


  • Accounting, Business Administration, or equivalent Bachelors' degree
  • 25 years of relevant professional experience
  • Proven track record of supporting executives or other senior leaders
  • Experience using SAP, Oracle platforms
  • Highly organized and responsive, with ability to work to SLAs and tight deadlines
  • Bestinclass time management skills, ability to multitask, set priorities and plan
  • Excellent written and oral communication skills; proactively communicates using appropriate methods for situation and audience in clear, concise and professional manner
  • Ability to provide superior customer service
  • Ability to handle multiple tasks at the same time
  • English fluency
  • Advanced English oral and written communication skills
  • People Management skills
  • Effective communication and collaboration skills
  • Proven track record of supporting executives or other senior leaders
  • Possesses a strong attention to detail and proofreading skills
  • Excellent interpersonal skills to deal with people at all levels, on ZOOM and/or over the phone both within and outside the company
  • Ability to assume responsibility and work independently with little or no supervision
  • Highly organized, detailoriented, and proactive
  • Effective time management skills and ability to meet deadlines, including ability to work under pressure, prioritize and handle multiple priorities
