Responsibilities:


  • Review and maintain written and computer files, plus conduct data entry
  • Assist in the coordination of administrative functions, including budget, personnel, meetings, and clerical duties
  • Research and collect information
  • Assist with all budget activities, including accounting
  • Help implement new programs, procedures, methods, and systems
  • Conduct fiscal reviews, and surveys, and collect information on administrative matters
  • Responsible for the preparation of confidential documents and reports
  • Maintain meeting minutes
  • Coordinate and schedule meetings and conferences including multilevel visits
  • Coordinate operations, including purchasing, equipment, property inventory, building, equipment, and disposal
  • Maintain complete stock of all office supplies and accuracy of inventory
  • Connect with building vendors to carry out fixes and improvements
  • Participates in multiple meetings to help the understanding y translating from other languages to the native language
  • Travel Expenses thru concur and Axosnet

Qualifications:

Education:
undergraduate diploma

  • Knowledge: Microsoft Office, Google Suite
  • Experience: +1 year as an Administrative assistant
  • Bilingual and cross cultural with ability to understand Mexico and Japan communication style, working culture and expectations (Spanish, Japanese and English)


Competencies (Abilities): Manage personnel with high level of expertise and understand the impact of several variables at the same time, able to work under pressure and be focused on day to day results, mid and long-term goals.
