    This position is required to provide onsite office support to the Mexico office as well as virtual support for other colleagues.

    Main activities might include:

  • Organization of disposal of confidential documents (shredding, destruction...) and recycling.
  • Participate in planning and coordination of corporate meetings and events.
  • Participate in local meetings, follow up on action items with line manager.
  • Provide reception and guest services, welcome visitors and employees.
  • Process courier labels for mail and scheduled deliveries.
  • Follow and enforce visitor management policies.
  • Invoice and payable coding through Kofax and Oracle system.
  • First contact point for office support.
  • Finance services: scanning invoices, handling invoice reminders.
  • Procurement: raising requisitions for new and current vendors, processing and tracking POs and invoices, maintaining payable records.
  • IT: liaising with IT Manager on recycling of material, raising tickets for planned electricity interruption, collecting return material from leavers.
  • HR: Coordinating availability and coordinating of HSE requirements to meet government regulations.
  • Support manager as needed to maintain shared folder of documents, reports, contracts, etc.
  • Good English skills.
  • Since the selected employee will be working alone for most of their time, it is necessary for them to be organized, independent, and detail-oriented in order to carry out their tasks appropriately.
