    Job Title Project Assistant
    Purpose of the job:
    provide a confi dential, effective and professional service tothe Manager and his/her team
    assist the Manager to guarantee time effi ciency,communication and organization
    provide support on any specifi c subjects linked to theactivities of the department.

    ACCOUNTABILITIES & AUTHORITIES
    Key accountabilities:
    Follow-up of the supply of warehouse consumables (kitchen, offi ce ....)
    Managing and recording annual leave of Project team
    Liaising with project team on a regular basis to obtainvarious information for the PM
    Compiling reports for Project reviews
    Arranging meetings – including room bookings, equipment,refreshments, etc
    Customer liaison – build up relationships with the customersat all levels and become a reliable
    point of contact for them
    Manage the offi ce – reception of visitors, room allocation,post, invoices, lunches etc
    Travel arrangements – fl ights/hotel bookings -visa
    Manage expenses sheets in the e-tools
    Diary management
    Email management: where appropriate responding onOperations Director's behalf / fi elding
    telephone calls
    Prepare agendas for the meetings, write minutes
    Provide support in making PowerPoint presentations
    Manage DA and follow payment of invoices
    Provide the necessary support to new comers in the team
    Follow-up of vehicles maintenance program ( status, gas,physic conditions.....)

    Educational Requirements
    Mandatory:
    Degree level
    IT skills – competentuser of Word, Excelpackages, Lotus NotesEmail, Internet. Goodcommand of software(word, excel, PowerPoint,Outlook...) and computer
    Driver license(minimum type A)
    Company's intranettravel bookings (CarlsonWagonlit)
    Desirable:
    shorthand and typing
    Senior Secretary course
    English
    Experience
    Mandatory:
    Good knowledge of Alstom & other functional areas withinthe organization
    Basic knowledge of domestic market
    Flexible and the ability to multi task
