Job Description:


We are looking for an energetic, well organised professional to handle all our virtual office operations, coordinating people's travel, Co-Working spaces and providing logins.

You'll also be responsible for purchasing equipment as well as other items when needed, and providing overall admin and support to Storyblok.


  • Handle all virtual office operations including but not limited to: coordinating supplier invoicing (e.g. Twilio), ordering books/material for our employees development, setting up software/telecom accounts for our employees (Zoom, phone subscription cards, VOIP services, eSim management, etc), and management of all employee requests, acting as the service center hub for Storyblok via the Operations Board
  • Support People's team with employee onboarding as well as new team members and other initiatives to engage Storyblok employees and give them the best experience (events online, parties, team buildings, big annual events, etc.)
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
  • Identify and enhance business needs; come up with creative and efficient solutions to keep things running smoothly
  • Handle subscriptions make sure we have all invoices, payment information is correct and support in the access management
  • Coordinate Co-Working spaces and conference rooms
  • Support the team with their travel requests and needs
  • Create standard operating procedures, and support the team through these processes
  • Coordinate and work alongside Team Leaders and Executives to plan annual international team building events and get togethers, and act as a trusted support and advisor in the implementation of their programs and projects.
  • Participate in the development of new People and Talent Team programs, including recruitment and onboarding, compensation and benefits, professional development tracking, and general HR administration and support including researching HR or legal requirements. Steering committee participation

Qualifications:


  • Good office management, administrative, or assistant experience
  • Ability to mitigate unforeseen problems creatively and effectively
  • Good negotiation and prioritization skills
  • Helpful and supportive personality
  • Very wellstructured working style
