Business Need / Purpose of Role


The
Operations Representative (Boarding Agent) reporting to Operations Supervisor is responsible for providing logistics service to our Principals (the clients) to ensure the safe and smooth turnaround of all appointed vessels within the jurisdiction of the port office, as well as managing vessel requirements, procurement of relevant vendor services, and undertaking vessel boarding as required.

The Operations Representative performs office and non-manual work assisting Inchcape in the running and servicing Inchcape's 24-hours-a-day, 7-days-a-week on-call services commitments to its Principals.


Objectives & Measurement - Key Responsibilities

  • To terminate the availability of docks, the local port conditions prevailing at the time of the estimated arrival of ships and the orders and requirements of the terminal, to communicate these matters to the masters of the ships and other representatives of the principals, and to assist the masters of the ships with advice on how ships can have a better operation in port.
  • Coordinate any and all applicable regulations of the Mexican Secretariat of the Navy, Mexican Customs, Immigration and any terminal rules or rules, as well as any varying interpretations of government regulations applied by terminals, to communicate with ship captains and other representatives of the Principals regarding applicable regulations and interpretations, and assist ship captains and principals in accounting for any variables at particular port calls by advising and recommending courses of action to ship captains to comply with the various applicable regulations and interpretations.
  • Provide ship masters and managers with prearrival lists of what is needed or required for port entry based on each port's individual circumstances and prevailing conditions, to communicate to terminals whether ships meet requirements, or to advise ship masters or managers on possible options or actions that could be taken to meet the requirements.
  • Monitor with the Captains the services provided.
  • Coordinate accommodation, travel and transportation of ships' crew, and activities while in port as requested by directors, to receive reports of any crew change issues, and maintain ongoing communication with directors.
  • Support customers in obtaining the various services that ships need while in port, such as medical services or food deliveries for the crew, by contacting suppliers and arranging service deliveries.
  • Responsible for boarding duties on arrival and departure of assigned vessels, including meeting with captains to help them communicate with government officials.
  • Responsible for assisting the principals with the monitoring and servicing of the Principals' business operations by gathering details on the process of entry and loading or unloading of each vessel and for drafting the Statements of Fact (SoF) for each port call, and responsible for obtaining and providing the Principal with the respective SoFs for port call drawn up by ship and terminal captains.
  • Support clients with monitoring and servicing the principals' business operations by preparing and ensuring the accuracy of prearrival documentation and visitor/supplier list for vessels and terminals, to coordinate navigation arrangements, to update arrival details and to send arrival messages, to collect information and ensure accuracy of updated daily cargo details, to communicate daily updates to managers (loading and handling), to collect and update output details, and to send output messages and documents.
  • Responsible for innovating with methods to reduce operating costs and find efficiencies for the port office.

Knowledge, Skills, and Abilities

  • A foundational knowledge of Port Operations.
  • Competent user of the Microsoft Office suite including Outlook, Excel and Word.
  • Ability to work evenings, weekends, holidays and adapt to fluid ship port schedules in 24/7/365 port operations.
