JOB DESCRIPTION:


Position Summary:


This position will be responsible for the coordination of the Talent Acquisition (TA) function and contributes to the overall success of the team by providing a high level of customer service, administrative support, and project coordination across the TA process.


Essential Functions:

Establishes priorities for daily office activities

Coordinate interview scheduling via the applicant tracking system and manage pre-interview documents and interview paperwork.

Maintain contact lists and employee lists to facilitate the effectiveness of multiple locations.


Manage administrative duties related to tracking of contingent workers, including communication with agencies and HRIS regarding hiring and termination of contingent workers.

Process pre-employment drug screens and background checks; manage completion and adjudication of this process.

Perform administrator duties for SilkRoad On-Boarding System.

Launch New Hire on-boarding processes and manage program completion.

Troubleshoot user issues, forgotten passwords, system modifications, etc.

Facilitate New Hire Employee Orientation and manage presentation, schedule of attendance, changes to agendas, etc.

Build employee files and manage flow and completion of New Hire paperwork.

Save New Hire documents/policies into PeopleDoc system

Manage I-9 verification process using TALX eVerify system.

Process and manage new shopping carts and POs for department.

Process invoices, check requests and non-employee expense reports for TA and HR.

Assist TA Recruiters with Sourcing and Recruiting as time permits or as needed to meet staffing goals.


The employee has the authority to stop the production line, when he/she notices that the product has a quality problem or defect.

Support continuous improvement efforts in TA processes to ensure and improve compliance and effectiveness.

Support Central HR/Organizational Development programs, including the coordination of events, materials, agendas, participants, etc., as needed.


Management & Supervisory Responsibilities:

Job is NOT directly responsible for managing other employees. Co-ops or students may report to this position.


Knowledge:

Knowledge of applicant tracking systems, EEO, AA legislation and all legal aspect of selection and hiring is preferred.


Experience:

3-5 years of experience in talent acquisition or Human Resources


Skills:


Excellent written and oral communication skills including grammar, spelling and punctuation thus enabling the incumbent to work with top level management and other executive clients.

Excellent organizational skills and detail oriented that enable efficient and effective multi-tasking.
Ability to work well with all levels of corporation, as well as outside external clients and vendors.
Ability to be flexible and remain at ease under frequent-changing situations and schedules.
Proven ability to multi-task and prioritize multiple projects simultaneously

Capable of learning quickly in this role, as well as having the ability and desire to grow in the HR function, especially all phases of talent acquisition.

Very strong computer skills, especially Microsoft Word, Excel and PowerPoint. Ability to draft and present Power Point presentations.
Capable of handling highly confidential information.
Ability to prioritize and work independently with mínimal supervision.


Education/Certifications:

High School Diploma. (If we say High School diploma, should we say Associate Degree preferred? Or should we ask for an Associate's Degree and Bachelor preferred?

Associate Degree in Business, Human Resources or related discipline or equivalent experience preferred.

Bi-lingual Spanish and English required
