Responsibilities

- Handle inbound and outbound calls emails and SMS communications using RingCentral- Log accurate notes and updates in the CRM system- Pre-qualify leads and schedule estimates and installations- Send confirmations and appointment reminders to customers - Prepare follow up on customer estimates proposals coordinate scheduling with operations teams vendors update customer orders contracts issue invoices process payments in QuickBooks Online perform weekly basic reconciliations maintain accurate billing records submit track close permits while maintaining organized digital records maintain organized documentation file structures produce simple status operational reports keep files documentation updated in Google Workspace Microsoft systems

Qualifications

- 2+ years experience in Customer Service Office Administration AR/AP roles- Hands-on QuickBooks Online experience invoices payments reconciliations- Experience using RingCentral or similar VoIP systems strong CRM discipline data accuracy JobNimbus HubSpot similar English proficiency B+ spoken written fluent advanced Spanish skills availability work full-time aligned US business hours professional remote setup reliable internet MPS recommended modern computer setup dual monitors preferred quality headset customer communication
