This role is suitable for a dynamic, well organized and with strong interpersonal skills individual and who will help keep a well-functioning Sales regional agenda, while ensuring the high standards of Air Canada are maintained.


Responsibilities:


  • Provide administrative assistance to Director Sales, including the direct handling of routine and confidential matters, i.e. agenda, follow ups, telephone, queries etc.
  • Coordinate and/or prepare reports, agendas, other material for sales meetings, presentations as well as arranging travel requirements.
  • Preparing minutes for meetings
  • Coordinate several aspects of regional budgets.
  • Prepare and manage correspondence including with high level authorities in the region.
  • Coordinate customer relations case management.
  • Manage vacation, attendance, schedules and personal files for entire region.
  • Monitor monthly expense reports and reconciliation of expense accounts.
  • Interface with Winnipeg Finance for all BCC/invoice related expenses.
  • Maintain and replenish department supplies, while being accountable for expense control related to department budget.
  • Key liaison for external vendors/suppliers.
  • Maintain/update manuals and documents.
  • Establish and maintain filing and followup system.
  • Manage the correct functioning of the office in coordination with other departments.
  • Support departmental required projects.
  • Coordination of the employee recognition program
  • Responsible to upkeep own job competencies and processes.

Qualifications

  • Strong organizational skills; disciplined and self motivated.
  • Excellent communication skills (oral and written) in Spanish and English, French will be highly regarded.
  • Well developed interpersonal skills.
  • High degree of diplomacy, discretion, maturity and judgment.
  • Applicant must be flexible and willing to work extended hours on occasion; strong personal initiative and have the ability to work in a confidential capacity, with little or no supervision.
  • Ability to work under pressure.
  • Good knowledge of Word, Excel, PowerPoint, Outlook. AMADEUS GDS knowledge a plus.

Excellent communication skills (oral and written) in Spanish and English, French will be highly regarded.
