About the team


The External Expert Engagement Services Team is a service tower within Global Business Services - Compliance, Legal and Contracting Operations at AZ that leverages a combination of technology, standardised processes and managed services to support the organisation with managing compliant contractual relationships between AZ and Healthcare Professionals (HCPs) and Healthcare Organisations (HCOs).


About The role


The Office Manager is accountable for supporting the Head of the E3S Team and the E3S LT with administrative activities including scheduling, recruiting, PO creation and management.

The role will report to the Head of External Expert Engagement Services. The role will need to collaborate extensively with the entire E3S team based in various locations around the world.


Accountabilities

  • Provide administrative support to Head of E3S including scheduling, creating and updating PPT presentations, supporting with job postings and recruitment.
  • Track action items for E3S leadership team and organize LT meeting agendas and logistics
  • Support with travel bookings and logistics
  • Partner with communications specialist to communicate broad E3S messages on behalf of LT including Workplace posts, newsletters and Nucleus updates.
  • Partner with E3S team members to support with KPI management and reporting including productivity and efficiency gains.
  • Own and manage E3S distribution lists, organization charts and manage CLCO distribution lists for E3S.
  • Partner with PMO on actions and communications.
  • Support with PO creation and management in Coupa.
  • Organize all hands meetings and coordinate any logistics including meeting room bookings and catering.
  • Support with site specific team building activities and logistics across our locations.
  • Create surveys for E3S LT, as needed.
  • Own and manage Pulse survey results management and communication.

Requirements:


Essential

  • 3+ years' experience with executive administrative support.
  • Communications and engagement.
  • Knowledge of project management tools and processes.
  • Organized
  • Problem solving
  • Effective communicator and ability to clearly articulate key updates and changes
  • Strong written and verbal communication skills in Business English
  • Proven ability to manage multiple projects/tasks effectively
  • Demonstrated success working in a global team environment
  • Strong numerical and analytical skills
  • Experience of supporting significant business change across different national and business boundaries
  • Experience operating in a high paced, rapidly changing project environment
  • Strong ethical, interpersonal, collaborative and influencing skills
  • Assertive and confident interacting with individuals at all levels of the organisation including senior leaders.

Desirable


Prior experience in the biopharmaceutical industry (Sales, Marketing, Research & Development, Compliance, Legal, Procurement) or a consulting firm working with pharmaceutical clients in a similar role.
