Administrative Assitant

An American company is seeking a responsible Administrative Assistant to perform various administrative and clerical tasks.

The administrative assistant's responsibilities include supporting our managers, clients, and workers, helping with everyday office tasks, and overseeing our business' overall administrative operations.


Job Responsabilities

  • Answers the phone, schedules meetings, and helps visitors as needed to ensure the smooth operation of the office.
  • Performs administrative tasks such as typing, copying, binding, scanning, and filing.
  • Fulfills operational requirements by allocating administrative projects, scheduling them, and accelerating work output.
  • Arranges travel for senior staff members, including making hotel reservations, automobiles, and restaurants.
  • Assists the team by carrying out duties that require excellent organization and communication.
  • Provides information, educational opportunities, and possibilities for experiential growth to administrative staff members.
  • Ensures proper equipment operation by doing necessary preventative maintenance, requesting repairs, keeping track of equipment inventories, and assessing new tools and procedures.
  • Ensures supplies are always available by reviewing inventory levels, forecasting needs, and scheduling and expediting supply orders.
  • Supports the team's efforts by completing pertinent tasks as needed.

Job Requirements

  • Two years of experience working as an administrative assistant
  • Expertise in using software such as Microsoft Word, Excel, and Outlook; Microsoft PowerPoint; and Adobe Acrobat
  • Writing Reports
  • Writing for Administrative Purposes
  • Controlling Procedures
  • Professionalism in Organizational Information Analysis
  • Verbal communication, problemsolving, supply management, and inventory control
  • Spanish
  • English
