Accountabilities

  • Provides administrative support for a large team including arranging travel, scheduling meetings, managing calendars, ordering supplies, managing mailings, fulfilling small customer requests, filing, managing distribution lists, and other related duties.
  • Serves as back up to the Executive Administrative Assistants in their absence or when additional support is needed.
  • Assists with presentations, spreadsheets, data entry and other duties as assigned.
  • Reconciles, prepares and submits for timely reporting reports for Operations (Transportation US and Mexico) teams.
  • Manages Purchase Orders and Requisitions for both US and Mexico Operations.
  • Pays invoices for memberships, events, consultants, professional services and various other miscellaneous purchases, payments and returns.
  • Coordinates onsite and offsite meetings to support Operations executives and team including accommodations, hospitality services, audio/visual, transportation, and all other components related to the meeting.
  • Manages customer events from set up to tear down including staffing, suppliers, vendors and caterers at all such events both onsite and remote for prebusiness hours, during business hours and after hour events.
  • Exemplifies KCS Vision, Values, and Culture interactions with coworkers, business partners, customers and stakeholders.

Required

  • Bachelor's degree from an accredited university or college, preferably in a job related major field of study
  • Minimum two (2) years of relevant professional experience, or equivalent combination of education and experience
  • English preferred

Working Conditions

  • This position has a regular full time schedule with a normal work week of Monday through Friday. There may be a need for occasional work after hours or weekends.
  • This position may require mínimal travel up to 10% of the time.
