Associate Contracts Specialist
Position Purpose
Serves as the primary liaison between Strategic Procurement and Legal departments. Monitors existing Non-merchandising contracts and informs business owners regarding contract renewal, replacement and expiration review process. Manages multiple Legal department software databases, entering pertinent information related to the Non-merchandise contracts. Assists management reporting process and assures the organization has appropriate contracts in place.
Primary Accountabilities
- Manage CounselLink contract entries
- Create new and update matters as appropriate. Follow naming rules, enter description, enter start/end/review date and assign business owners as needed
- File contracts in Documentum from Staging Folder
- Manage Documentum folders as needed
- Manage business owner quarterly responses in CounselLink. Provide advice and assistance to the contract business owners of next steps for renewals
- Assist the Legal department with reporting and entering agreements in CounselLink.
- Assist the business owners in completing Contract Initiation Review and Approvals (CIRA) Forms and Low Risk PO's
- Agreement retrieval for the business owners
- Onboarding, aAssist with training current and new business owners regarding the Contract Processes
- Manage the CIRA approval process for MX and DZ contracts ensuring corporate control is in place and providing visibility
- Manage the Low-Risk PO approval process for MX and DZ ensuring corporate control is in place and providing visibility.
- Maintain a quarterly contract renewal, expire and replace scorecard of business owner responses to report contract compliance
- Assist the Procurement department as needed with auctions, finding copies of contracts, and creating reports as needed.
- Assist in spend analysis for USA and MX in order to identify areas of opportunity to reduce costs and leverage or consolidate similar products or services.
Education & Experience
Level of Formal Education:
An associate degree (two-year program) or equivalent formal training program.
Area of Study:
Technical degree, Administration
Years of Experience:
Minimum/no experience.
Type of Experience:
Admnistrative activities.
Special Certifications or Techicals Skills:
MS Office.
Other/Preferred:
Strong interpersonal and communication skills. Knowledge of contract documents and specifications
