Job Summary:

The Executive Assistant II is responsible for providing high-level, confidential administrative support to the Executives and their extended teams across time zones


Job contributions and key responsibilities:


  • Manage travel, logistics and expenses for extended team.
  • Maintain and manage calendars.
  • Prepare and process expense reports
  • Schedule meetings and teleconferences, prepare agendas, and make arrangements for food and coordinate other meeting requirements.
  • Arrange travel, to include, hotel, transportation, and processing of passports and associated travel activities.
  • Attend meetings, record, transcribe and distribute minutes/notes and follow up on action items.
  • Conduct research, compile data, and prepare papers for consideration and presentation.
  • Prepare information and documentation by drafting, finetuning, transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data and graphics. Distribute and maintain historical documentation and correspondence as required.
  • Develop and maintain crossdepartmental relationships.
  • Perform general office duties, such as ordering supplies and maintaining records management database systems.
  • Support projectrelated work.
  • May plan events, as needed, for internal and external meetings, dinners, town hall meetings, and special social events by scheduling venue/vendor, budget preparation, manage logistics and act as liaison.

Skills & Knowledge:


  • Farming industry.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and web platforms.


  • Bilingual

  • English and Spanish.
  • Proven experience interacting with all levels of the organization and key stakeholders.
  • Event planning experience a plus
  • A valid passport and the ability to travel internationally without restrictions.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail in a proactive manner with followthrough.
  • Very strong interpersonal skills and the ability to build relationships with people and employees at all levels of the organization.
  • Expert level written, verbal, reporting and presentation communication skills (internal company and external public).
  • Demonstrated ability to achieve highperformance goals and meet deadlines in a fastpaced environment.
  • Ability to draft and edit presentations and letters

Education Level:


  • Bachelor's Degree in Business Management or a related field

Years of experience:

years in areas related to the position

  • Experience in multinational environment preferred

License required:


  • Driver's license valid in CA.
