Job Description (Roles and Responsibilities)Main purpose of job:
The jobholder will support the Consular team in delivering excellent consular services and assistance to British Nationals in distress, along with researching and preventive work.
This will involve working with a range of stakeholders, including NGOs, consular officers from other Embassies and Mexican Government officials.
He or she will also support the organisation of events across the Region and virtual meetings.Roles and responsibilities / what will the jobholder be expected to achieve?:
- Provide support to the Consular team in all areas of consular work, from assistance to British Nationals and file keeping, to events logistics.
- Help to establish and maintain a network of key contacts, such as government agencies, NGOs, other Embassies, etc.
- Support the organisation of regional events such as conferences, resilience, trainings in the Americas and UK, (research about potential venues, request quotes, liaise with hotels, airlines, follow up especial requirements, reconcile travel expenses after events, etc.)
- Support Consular Team on performing required Notarial and Documentary Services according to guidance.
- Help with the creation/implementation of consular preventive work through campaigns based on the trends the Consular team have spotted.
- Work closely with other sections of the Embassy on Crisis Response Plan.
- Support consular officers on daily tasks, such as calls and enquiries to British Nationals, authorities, teams in London, other embassies, etc.
- Engaging with the emergency travel document centre to deliver and ensure high quality of service on documentation.
- Revise and manage list of lawyers and translators published in
- Assist Vice Consul on any Rapid Deployment Team enquiry, task or support needed for the Americas Region.
- Support Consular Team in Cancun and the region, when required.
- Support Consular Regional Operations Manager on admin tasks as required.
Essential qualifications:
- Partial or completed university studies in International Relations/Business, Business Administration, Tourism, Psychology or any other relevant degree.
- Basic understanding of the relevant Mexican Institutions and legal/bureaucratic processes.
Skills and experience:
- Being able to liaise with people over requirements and ask for help where stuck, but also able to work independently.
- Computer literate, working with Microsoft Windows and able to manage information effectively with available computer systems.
- Should be a proactive and creative selfstarter with strong interpersonal skills who has the ability to learn quickly.
- Excellent organisation, prioritisation and communication skills.
- Proficient knowledge of Microsoft Office
